All food products sold or offered must be vegan (containing no animal ingredients of any kind). Non-food items may not be tested on animals, and must be free of all animal derivatives such as leather, fur, silk, lanolin, gelatin, etc. Books, literature, product displays, and other promotions may not promote the use of any animal-derived food or product, exploitation of or violence towards any animal. The Exhibitor shall not exhibit any merchandise or service other than that specified on the registration form. * A standard electricity package (2 outlets providing a total of 20 amps) is included with your vendor registration. General Liability Insurance: You shall secure, at Your sole cost, commercial general liability insurance which shall protect You and Us from and against any and all claims arising out of or in connection with Your participation at DC VegFest. Your insurance shall cover all your activities associated with DC VegFest, with limits not less than $1,000,000 each occurrence, $2,000,000 in the aggregate. Such insurance shall include coverage for contractual liability, property damage, bodily injury (including death), advertising injury and personal injury liability, among other things. Limit requirements may be satisfied by combining primary and umbrella/excess liability policies. All policies shall be primary and noncontributory, written by insurance companies with an A.M. Best rating of A-IX or better in the latest edition of Best’s Insurance Guide and Key Ratings. Policies shall be endorsed to name Compassion Over Killing, Inc., as additional insureds. All policies shall contain a waiver of subrogation in favor of the additional insureds. ***Please contact an insurance company to discuss your needs and details of your business/organization if you are in need to purchase Special Event Policy coverage for the amounts required above. Most insurance companies are able to quote and offer one day policies for special events. * Deadline for COIs COIS are due by July 26th. If the required information is not submitted by the due date, your spot to be a vendor will no longer be able to be held and will open up to vendors on the waitlist. * Additional Insurance. If a product or service, in the opinion of Compassion Over Killing (organizer of DC VegFest), represents an unusual or exceptional risk, additional insurance for that product or service may be required or vendor participation may possibly be denied. * Automobile Insurance. All exhibitors driving onto Nationals Park premises, including the stadium and the parking garage, in a vehicle must carry valid and current automobile insurance, as required by law. * Propane and/or Butane Tank Permits. Exhibitors using propane and/or butane tanks on the event premise must apply and pay for a Fire Prevention Code Permit through the DC Fire Department and submit proof of permit application and payment to DC VegFest event organizers. Failure to acquire the proper permit may result in the Exhibitor’s removal from the premise at the will of the DC Fire Department or other authorized government agent and shall result in the Exhibitor being subject to a fine from DC VegFest. Registration fees will not be refunded due to Exhibitor removal due to permit violations. * Loss, Theft and Damage. The Exhibitor agrees to make no claim for any reason against festival coordinators, DC VegFest, Compassion Over Killing (COK), or Nationals Park and the District of Columbia for loss, theft, damage, or destruction of goods, nor any injury to themselves, their employees or volunteers, or festival visitors incurred at the festival. The Exhibitor agrees to accept full responsibility for any such loss, theft, damage, destruction of goods, or injury caused or experienced by the Exhibitor. * Right to Request Documentation. DC VegFest reserves the right to request additional documentation as needed from the Exhibitor, at DC VegFest’s discretion, including proof of liability insurance, business license, or nonprofit status. * Security at Nationals Park and prohibited items. All vendors and visitors will go through Nationals Park Security. The following items are strictly prohibited from entering the venue: backpacks, knives (other than disposable utensils), box cutters, helium balloons, lit candles, or weapons or self-defense sprays of any kind. Costumes are not allowed. Scissors are permitted. Food vendors requiring metal knives for food prep use must contact DCVF organizers to make arrangements. Read more about the Bag Policy here. Exhibitors will begin setting up at 7:30 a.m. on the Event Date and the Exhibitor should be ready for visitors by 10:45 a.m. You will receive details about Your assigned set-up time in a future email. All exhibitors will have to go through security to enter the venue, as per above. The Exhibitor Space must remain staffed at all times from 11 a.m. until the festival ends at 5:30 p.m. Exhibitors must vacate the premises by 7 p.m. Failure to do so shall result in the Exhibitor being held responsible for any late departure fees. * Loading/Unloading. No vehicles except Food Trucks will be allowed inside the venue. All other exhibitors will be pointed towards a designated entry area to Nationals Park ,where they will need to unload their vehicles and pass through Nationals Park security. Exhibitors are encouraged to bring dollies or carts to assist with set up and break down. Note that backpacks are not permitted inside Nationals Park. The Exhibitor shall not idle vehicles along the unloading site and shall limit their loading and unloading time to 15 minutes. Vehicles parked or idling for a prolonged period at the unloading site will be towed at the owner’s expense and are subject to a fine from DC VegFest. * On-site Parking After unloading, cars may park in the Nationals Park parking garage on a first-come, first-served basis. This parking is free for one car and included in the cost of your vendor registration fee. Additional parking may be purchased as an add-on. * Exhibitor Space Breakdown. The DC VegFest ends at 5:30pm.The Exhibitor shall be responsible for the breakdown, and cleanup of the Exhibitor Space. Garbage and recycling containers will be provided; all garbage and recycling must be placed in the appropriate containers. A $50 cleaning fee may be charged for Exhibitor Spaces not left clean, as determined by DC VegFest, and may result in the Exhibitor’s non-participation in future events. Exhibitors must vacate the premises by 6:45 p.m. Failure to do so shall result in the Exhibitor being held responsible for any late departure fees. * Exhibitor Space Restrictions. Exhibitor Space shall not be shared or sublet without the permission of DC VegFest, and the Exhibitor will restrict its activities to the allotted Exhibitor Space and will not solicit beyond such boundaries. * Exhibitor Tent and Signage. Tents will not be provided; exhibitors are permitted to bring their own tents only if all four corners are properly weighted. Nationals Park will require any unweighted tents to be immediately broken down. The Exhibitor must have a sign clearly identifying the name of the business or organization displayed. Signage can only be attached to Nationals Park surfaces with painter’s tape. No Nationals Park signage may be covered by exhibitor signage. * Forfeited Exhibitor Space. Exhibitors who are not inside the Nationals Park gates by 10:45 a.m. will have their space forfeited. This forfeited space may be resold, reassigned, or used by DC VegFest without obligations for any refund whatsoever. No refunds will be given * THIS EVENT IS RAIN OR SHINE. In the event of inclement weather, the festival will continue provided weather does not threaten safety. No rain date is scheduled. Registration fees will not be refunded due to exhibitor cancellation or event cancellation. Note that the Nationals Park includes exhibitor spaces that are fully covered and protected from rain. * Cancellation Policy. Exhibitors must provide written notice of cancellation by July 19th, 2019 to receive a refund of registration fees. Failure to provide written notice within this deadline may result in the forfeiture of refund. Should any contingency interrupt or prevent the holding of the event or Exhibitor’s attendance, DC VegFest shall in no way be liable to the Exhibitor and registration fees will not be refunded nor payment deferred as registration fees to any future DC VegFest event. * Proper Exhibitor Determination. DC VegFest shall have the final decision as to what constitutes a proper exhibit and such decision shall be final and binding. If for any reason any Exhibitor Space or its contents are deemed objectionable by DC VegFest, the Exhibitor Space may be moved or removed. This provision includes persons, things, conduct, printed materials, or any item or attire that DC VegFest organizers may consider objectionable to DC VegFest’s intent. DC VegFest further reserves the right to relocate Exhibitor Spaces or Exhibitors when such relocations are necessary to maintain the character and/or good order of DC VegFest. No Exhibitor or Exhibitor Space affected by this provision is entitled to a refund. * Exhibitor Nuisance and Interference. The Exhibitor shall not (a) commit any nuisance; (b) cause any unusual smoke or odor to emanate from Exhibitor Space; (c) do anything which would interfere with the effectiveness of any utility of DC VegFest, nor interfere with free access or passage to the facilities of DC VegFest; (d) interfere with the effectiveness of accessibility to the electricity; (e) do or permit to be done any act which might invalidate any insurance policy carried by DC VegFest. DC VegFest reserves the right to restrict Exhibitors to a maximum noise level and to suitable methods of operation and display. * Alcohol Policy. Alcohol samples and alcohol sales are prohibited. * Sales Tax. All Exhibitors selling merchandise or food (including nonprofits) must collect sales and use tax in accordance with DC law and remit payment to the DC Office of Tax and Revenue. Information about form FR-800SE which includes current tax rates and filing instructions is available on DCVegFest.com under Exhibitor Instructions. * Registration Fee Payment Methods. Sponsors and Exhibitors may remit payment online via PayPal to info@cok.net or by check made out to “Compassion Over Killing” and remitted to 6930 Carroll Ave, Suite 910 Takoma Park, MD 20912. Returned checks are subject to a $35 penalty fee. * Registration Fee Due Date. If a Sponsor or Exhibitor registration fee is not paid in full by July 22nd, DC VegFest reserves the right to relinquish the Exhibitor Space to another vendor. The Exhibitor is not entitled to a refund of any partial payments received. * Indemnification. Vendor agrees to indemnify and hold COK and its respective directors, officers, employees, agents, and other representatives harmless from and against all damages, costs, expenses (including attorney’s fees), charges, losses, or liabilities whatsoever arising from Vendor’s participation in DC Veg Fest. * Failure of the Exhibitor to comply in any respect with the terms, conditions, rules, or regulations of this agreement shall result in the termination of the rights of the Exhibitor.
